Terms and Conditions

1. Parties and Definitions

1.1. Licensee – the natural person licensed by TED to organize TEDxUnirii Street: Alexandru-Ștefan Bădrăgan.

1.2. Participant – the natural person who purchases a ticket (or receives an invitation/accreditation) and attends the event.

1.3. Event – the TEDxUnirii Street Botoșani edition, held on 3 May 2026, in the city of Botoșani, at the “A.T. Laurian” National College, 19 Nicolae Iorga Street, Botoșani county.

1.4. Ticket – the Participant’s right of access to the Event, issued in either physical form or in digital form (e-ticket).

1.5. Website/Platform – the official website of the Event (https://tedxuniriistreet.com).

1.6. Personal Data/Data – information that enables the direct or indirect identification of a person, processed by the Organizer in the context of the Event.

2. Applicability and Acceptance of the Terms

2.1. These Terms and Conditions (hereinafter collectively referred to as the “Terms”) govern the relationship between the Organizer and the Participant with respect to participation in the Event and the operation of the Website/ticketing platform.

2.2. By purchasing a Ticket or by using the Website/platform, the Participant declares that they have read, understood, and accepted these Terms, including any subsequent amendments thereto.

2.3. The Organizer reserves the right to amend these Terms, under the conditions and with the notice provided in section 10.

3. Ticket Purchase, Payment, and Confirmation

3.1. The availability and price of Tickets shall be displayed on the Website or on the ticketing platform. The Organizer may establish ticket categories (e.g. general admission, early bird, etc.).

3.2. Payment for Tickets may be made using the agreed methods (card, bank transfer, electronic platforms). A Ticket is deemed valid only after full payment has been confirmed.

3.3. The Participant must provide accurate, complete, and up-to-date information (first name, last name, email, phone number, etc.). Any errors in the data may be corrected only upon prior notification and with the consent of both parties.

3.4. Upon processing the order, the Participant shall receive a confirmation (by email) and the Tickets (in physical or electronic form, as applicable).

3.5. If the Participant fails to complete the payment or to provide the required information within the specified period, the reservation may be cancelled without prior notice.

4. Cancellation, Rescheduling, and Refund Policy

4.1. If the Event is cancelled by the Organizer, the Participant shall receive a full refund of the ticket price (without any penalties). The refund shall be processed in accordance with the procedure described in 4.4.

4.2. If the Event is rescheduled, existing Tickets shall remain valid for the new date. The Participant has the right to request a refund of the ticket, instead of attending on the rescheduled date, within the specified period (e.g. 30 days). The refund shall be processed in accordance with the procedure described in 4.4.

4.3. If the Participant is unable to attend for personal reasons, no refund shall be granted, except as provided in Sections 4.1 and 4.2. The refund shall be processed in accordance with the procedure described in 4.4.

4.4. Any request for a refund of the Ticket price must be submitted exclusively through the ticketing platform through which the Ticket was purchased (https://iabilet.ro). Refunds shall be processed in accordance with the terms, deadlines, and procedures established by the platform at the time of purchase, including the provisions of the Flex-EnGarde insurance policy, detailed at https://www.iabilet.ro/flex-engarde. The Organizer does not process refunds directly; requests submitted directly to the Organizer shall not be considered.

4.5. Processing fees (if any) may be non-refundable, if explicitly communicated at the time of purchase.

5. Ticket Modification/Ticket Transfer

5.1. A Ticket may be either personalized or non-personalized, depending on the specific regulations of the edition.

5.2. If permitted, the transfer of a Ticket to another person may be carried out only upon notification to the Organizer and with their consent, under the conditions communicated (e.g. up to a specified date prior to the Event).

5.3. The Organizer may refuse the transfer if the conditions are not met (identification, notification, payment of any applicable differences, etc.).

6. Access, Conduct, and Event Regulations

6.1. Access to the Event shall be granted on the basis of a valid Ticket, invitation, or accreditation, through the entry points/time slots communicated in advance.

6.2. The Organizer may conduct security checks or inspections of persons and belongings to ensure the safety of all Participants at the Event.

6.3. The Organizer reserves the right to deny access or to require the removal of Participants who fail to comply with the rules, safety regulations, applicable law, or the Code of Conduct established by the Licensee, which can be consulted on the Website at https://tedxuniriistreet.com/code-of-conduct.

6.4. During the Event, the Participant undertakes to comply with the instructions of the organizing team, markings, signage, evacuation procedures, and similar guidance.

6.5. The Participant is prohibited from bringing or using, without express authorization: professional audio/video equipment, dangerous objects, prohibited substances, goods for sale, and similar items.

6.6. The Participant shall be liable for any damage caused intentionally or through gross negligence. If the Organizer is penalized due to the Participant’s failure to comply with the rules, the Participant shall be obliged to bear the corresponding penalties or damages.

7. Copyright, Intellectual Property, and Recordings

7.1. The TEDx Event operates under a TED license; the talks are subject to the usage rules established by TED (e.g. filming rights, distribution, etc.).

7.2. The Organizer reserves the right to record the talks and the Event in audio and/or video. The Participant consents to being filmed / photographed / included in recordings, which may be used subsequently (online broadcast, promotion, archive, etc.).

7.3. The Participant may not photograph, film, livestream, or reproduce the talks or other parts of the Event for commercial purposes without the written consent of the Organizer and, where applicable, TED (in accordance with TED’s licensing policy).

7.4. The materials of the Website and the Event (texts, images, logos, graphics, etc.) are protected by copyright; their reproduction is permitted only with written consent.

7.5. If the Participant submits materials (e.g. questions, comments, proposals) before or during the Event, they grant the Organizer a non-exclusive, worldwide, royalty-free license to use, reproduce, adapt, and otherwise exploit such materials.

8. Limitation of Liability

8.1. The Participant attends the Event at their own risk. The Organizer shall be liable only for damages caused directly by its own fault, within the limits permitted by law.

8.2. The Organizer shall not be liable for force majeure events (e.g. natural disasters, epidemics, administrative decisions, etc.) or for situations beyond its control (e.g. technical failures, transport incidents, etc.).

8.3. Under no circumstances shall the Organizer be liable for indirect damages, loss of profit, travel or accommodation costs, or similar expenses.

8.4. In the event of a temporary interruption of the schedule, changes in the order of speakers, or changes of venue (for justified reasons), the Organizer shall not be liable for compensation except where the change is significant and affects the main purpose of the Ticket, in which case the Participant may request a refund in accordance with section 4.

9. Processing of Personal Data & Privacy

9.1. The Organizer is the data controller of the personal data provided by the Participant, in accordance with Regulation (EU) 2016/679 (GDPR) and the applicable Romanian legislation (Law 190/2018, Law 677/2001, etc.).

9.2. The data collected shall be used for the following purposes: verification/confirmation of participation, issuance of tickets, communications related to the Event, logistics, marketing (where the Participant has provided consent) etc.

9.3. The personal data may be disclosed to third parties (e.g., ticketing platforms, service providers, logistical partners) only to the extent necessary and subject to an obligation to maintain confidentiality.

9.4. The Participant shall have the rights provided under the GDPR, including the right of access, rectification, erasure, restriction of processing, objection, and data portability. To exercise these rights, the Participant may contact the Licensee at the email address alex@tedxuniriistreet.com or at the telephone number +40 (750) 198 271.

9.5. The Organizer shall implement appropriate technical and organizational measures to secure the data and to prevent unauthorized access, destruction, or disclosure.

9.6. The data shall be retained only for as long as necessary for the stated purposes or as legally required (e.g. tax obligations, archiving, etc.).

9.7. The Organizer processes the email addresses provided by Participants exclusively for the purpose of sending a post-event feedback survey (Attendee Survey), either via a single email or through a secure platform, in order to collect opinions and suggestions regarding the quality and organization of the TEDxUnirii Street Event. This processing is carried out on the basis of the Participant’s explicit and freely given consent (Article 6(1)(a) of Regulation (EU) 2016/679 – GDPR), which may be granted separately and in a granular manner at the time of ticket purchase, by checking an unchecked box in the registration/order form or by any other equivalent mechanism that ensures a clear, specific, informed, and unambiguous expression of the Participant’s will.

9.8. In this manner, the Participant is informed transparently, prior to giving consent, about: the specific purpose of the processing (exclusively post-event feedback), the voluntary nature of providing consent, the right to withdraw consent at any time without affecting the lawfulness of processing carried out prior to withdrawal (Article 7(3) GDPR), as well as the simple means of withdrawal (for example, by clicking the unsubscribe link included in the email with the survey or by contacting the Organizer at the address indicated in Article 9.4).

9.9. The data shall not be shared with third parties for purposes other than those strictly necessary for the technical implementation of the survey (e.g. email service providers or survey platforms, designated as processors and contractually bound in accordance with Article 28 GDPR). Processing is strictly limited to the period required for collecting and analyzing the feedback, with the data being automatically deleted no later than six months from the date of the Event, or immediately after the completion of the aggregation of anonymized responses, except in cases where retention is required by law or for the protection of the Organizer’s rights in legal proceedings.

10. Communications and Notifications

10.1. Communications between the Organizer and the Participant shall generally be carried out by email or other electronic means (SMS, ticketing platform) using the addresses/data provided.

10.2. The Participant must periodically check their account/email for notifications related to the Event (changes, announcements, etc.).

10.3. Significant changes to the Event (date, location, schedule) shall be communicated at least 7 days prior to the event, whenever possible.

11. Force Majeure and Necessity

11.1. In the event of force majeure or administrative decisions (public health restrictions, natural disasters, etc.), the Organizer may postpone or cancel the Event.

11.2. If the Event cannot take place in any form, the Organizer shall proceed with a refund or an alternative solution (e.g. a digital event) in accordance with section 4.

11.3. The Organizer shall not be liable for any damages resulting from such external causes, regardless of when they occur.

12. Final Provisions, Applicable Law, and Dispute Resolution

12.1. These Terms constitute the entire agreement between the parties regarding participation in the Event and supersede any prior understandings.

12.2. If any provision of these Terms is declared null or unenforceable, it shall be severed, and the remaining provisions shall remain in full force and effect.

12.3. Any dispute arising out of or in connection with these Terms shall first be resolved amicably; if no agreement is reached, the disputes shall be submitted to the competent courts of Romania, in accordance with Romanian law.

12.4. The applicable law shall be Romanian law and, where applicable, the relevant EU regulations.
